Duty Station: Lion Guardians Amboseli Camp, Kenya

Expected Travel: Monthly travel to Nairobi (1-2 days) during first 6 months

Reporting to: Executive Director & Director of Science

Position Type: Full-time 12 month contract

Level: Part of management team with 4 direct reports

Conditions: Full board, vehicle, incremental leave

Core Duties: Operational administration, camp facilities, operational management and reporting, operations support to Directors and management team.

Closing Date: August 20th (all applications must be in)

Position Description & Purpose

This is a new position and will play a critical role in the management team to ensure the camp runs smoothly. It is a general operations role with responsibility for procurement, logistics, camp improvements and maintenance as well as ensuring all required standard operating procedures are in place. The operations manager will be a point of reference for the management team when they need support or information about operating procedures, including human resource policies and legal requirements.

Position Profile

This position requires a personable, experienced and highly organized individual with the ability to build consensus, resolve issues and coach others. They will be a process driven, disciplined record keeper with excellent documentation and report writing skills.

The role requires proven experience successfully managing projects in the field in East Africa, managing operations personnel, having full responsibility for field camp maintenance and must be extremely competent in budgeting, finance and procurement processes and tools.

With a strong instinct for effective prioritization, the ideal candidate will have experience and knowledge of social development and conservation sectors in East Africa. They will have excellent English and Kiswahili and have the ability to live and thrive at a remote field-site. They will be qualified to degree level in a relevant management field and have a driving license with excellent off-road driving ability.

Operational Administration:

Procurement and logistics – planning and coordination

Development of SOPs for camp stock, non-stock, vehicles, ICT, buildings, and other assets

Health and safety (incl. emergency medical procedures / SOPs)

Administration / preparation of HR contract documents

Sourcing and contract management (incl. quotations and reporting to team on performance of contracts) from all 3rd party service providers

Preparing and keeping up-to-date an organisation compliance calendar which includes registration deadlines, license renewal dates, vehicle insurance, legal requirements cycles etc.

Maintaining an up-to-date leave/absence calendar for the whole team

Managing minutes of quarterly senior management meetings

Camp Facilities:

Management and training of facilities team (4)

Responsible for general camp maintenance and project management of camp improvement project

Planning and coordination of all logistics for camp visitors

Maintenance of the Resource and Learning Centre – physical library, photo board, equipment etc.

Management and Reporting:

Operational planning – drafting of annual plan and budget

Management of approved operations budget

Coordination of all travel requirements for the senior management and leadership team (and others, as required) – including quotations, bookings, follow-up support when the team are traveling

Management of the risk log – updating, coordinating the process, scheduling review meetings etc.

Operations Support to Team:

Strengthen capabilities of the facilities team and senior management team relating to new and updated SOPs

Provide advice and guidance to leadership and senior management team on SOPs, HR policies and legal requirement
